| Duties and Responsibilities: | Under the direct supervision of the Staff Services Manager I, incumbent will perform the more complex office support functioins and the less complex gathering and analysis of Agreement processing and preparation. The responsibilities and duties include but are not limited to the following: 30% Participate in Agreement preparation, including: 1) editing for correctness and consistency throughout the Agreement (ETP 100, 130, 143 and intranet chart); 2) analysis of narrative and data organization; 3) verifying the accuracy of the funding block codes and amounts; 4) assisting in identifying omission of any critical data, including special waiver requests; and 5) submission of electronic documents to appropriate parties. 15% Collect, compile, and input pertinent project data into the computer (EXCEL) and applicable MIS tracking systems for management analysis. Maintain technical data for management and staff for tracking project progress throughout the entire development and amendment processes. 15% Provide administrative support to the Manager and professional staff assigned to the unit. Compose and type letters, memoranda, and other correspondence based on instructions from the manager and professional staff. Set up and maintain individual staff weekly itinerary. Maintain files of sensitive issues for continued review and action by management. Schedule necessary resource arrangements for the monthly Orientation sessions. Maintain, duplicate, and assemble Contractor's Guide for professional staff. 10% Provide general information on Panel operations to internal and external customers. Research and respond to routine inquiries and refer more technical questions to appropriate analyst, if necessary. Prepare and maintain informational materials and packets for customer distribution. 10% Responsible for the set-up and maintenance of the unit's file system of all incoming and outgoing correspondence and a chronological, travel, and personnel file for each staff member. Act as a unit timekeeper and prepare necessary travel arrangements, including travel claims. 10% Gather, update, and prepare the monthly "Job Training Opportunities" listing on the ETP website in coordination with appropriate internal staff. Responsible for review and inclusion of statewide new-hire projects approved monthly by the Panel to this listing. Assist and maintain contact with EDD One-Stop Centers, including sharing information on ETP activities in their respective areas on projects funded. 05% Perform ancillary duties and work on special projects as needed. Update staff reference binders used by development staff for unique projects or funding requests (i.e. Career Ladders, New-Hire, Department of Apprenticeship Standards (DAS), and Advances Technology). 05% Other duties as assigned. 100% |
